Key Responsibilities

  1. Effective gatekeeping with a solid understanding of Executive's priorities.
  2. Extensive multi-diary management, anticipating clashes, managing conflicting priorities of equal importance using judgement and negotiating skills.
  3. Ensuring productive use of the Executive's time.
  4. Building internal and external relationships with Executives, colleagues, and stakeholders.
  5. Co-ordinating Exec, SLT, and Board Meeting agendas, collating Board packs and distributing pre-read materials.
  6. Providing pro-active meeting setup including logistics, venue, equipment, and catering.
  7. Drafting correspondence, reports, spreadsheets, and presentations to deadlines and agreed standards.
  8. Follow up with team members on completion of key commitments highlighted by the key executives.
  9. Proofread correspondence, information, and presentations for grammar, spelling, and punctuation, with great accuracy.
  10. Support CEO as a translator when discussing with Spanish speakers.
  11. Proactively arranging complex and rapidly changing business travel, including flights, accommodation, and ground transport, ensuring cost efficiencies.
  12. Preparing itineraries and ensuring the best use of the Executive's time.
  13. Managing all corporate card transactions and expenses whilst adhering to the company policies and procedures.
  14. Managing the authorisation of legal documents ensuring witnessing and certification where required for completeness, ensuring confidentiality of all personal and corporate matters.
  15. Timely and accurately processing expense and mileage claims and verifying Executive Team's expense claims and holiday requests for approval.
  16. Support HR in administrative tasks: Facilitating the onboarding of new staff members, interview setup, ordering IT equipment and co-ordinating and finalising Induction Programmes.
  17. Requesting material required by the department for group employees (mobile phones, computers, etc.).
  18. Activation of telephone lines for new employees.
  19. Supporting the wider Exec Team with ad hoc administration requests and some diary assistance and travel.
