WHAT YOU WILL BE DOING

The Executive Assistant & Support Administrative role is a pivotal role in the organization, and it involves providing high-level administrative support to the CEO and the senior management team.

Overall, the executive assistant to the CEO plays a critical role in supporting the CEO and senior management team and ensuring the smooth functioning of the company's operations. The position requires a high level of professionalism, discretion, and attention to detail, as well as the ability to work collaboratively with others and adapt to changing priorities and deadlines.

The following are some of the key responsibilities and requirements for this role:

  • Manage the CEO's calendar, schedule appointments, and coordinate meetings.
  • Prepare and distribute meeting agendas and minutes and follow up on action items.
  • Organize travel arrangements, including flights, accommodation, and ground transportation.
  • Handle confidential and sensitive information with discretion and always maintain confidentiality.
  • Assist with preparing presentations and reports for senior management meetings.
  • Conduct research, gather data, and prepare briefing notes and reports as needed.
  • Liaise with internal and external stakeholders, including clients, vendors, and board members.
  • Manage office operations, including ordering supplies and equipment, and overseeing maintenance and repairs.

EXPERIENCE

  • 3+ years of experience in a similar role, preferably in a software company or a fast-paced environment

EDUCATION

  • Bachelor's degree in business administration, communications, or a related field.

SKILLS & KNOWLEDGE

  • Experience in a similar role, preferably in a software company or a fast-paced environment
  • Bilingual, native, or fluent English and Spanish.
  • Excellent organizational, time management, and communication skills
  • Ability to multitask, prioritize, and work independently with mínimal supervision
  • Proficient in Microsoft Office suite and other relevant software tools
  • Strong attention to detail and problem-solving skills
  • Ability to maintain a professional demeanor in a dynamic environment.
  • Flexibility to work outside of regular business hours as needed
